Bench record / observed, repeated, explained
A first desktop scanner can produce a poor first result before its case is opened. A bright window may wash out a calibration target. A light bench may wobble when the operator reaches for the mouse. A short data cable may pull the scanner stand out of position. This pre-unboxing check finds those faults while the equipment can still be placed deliberately.
The check takes one clear bench, the scanner maker’s current manual, a tape measure, and a phone camera. No scanner specification is assumed. Working distance, power arrangement, and computer requirements differ by model, so the manual remains the authority for those values.
Define the job before clearing the bench
The shop should name the first scanning job in one sentence. A useful example is “capture a palm-sized machined bracket for dimensional reference in CAD.” That sentence determines whether the planned location has enough room, whether color matters, and whether a turntable can carry the part.
The first object should be stable, rigid, opaque, and visually distinctive. Artec’s preparation guidance calls for a stationary object with geometric or texture features and uniform lighting. It also identifies black, transparent, and reflective surfaces as cases that may require preparation. A glossy black cylinder therefore makes a poor commissioning part even if it resembles future production work.
Set aside a second object for a later challenge scan. Commissioning should first prove that the installation works under favorable conditions. Surface treatments, markers, and difficult geometry can be introduced after a repeatable reference scan exists.
Map the scanner’s physical envelope
Find the working-distance diagram in the model-specific manual. Mark the near and far limits on the empty bench with removable tape, then place the proposed object center between them. Model values must not be borrowed from another scanner. EinScan’s own fixed-mode instructions, for example, show that optimal and permitted distances vary across products in the same family.
Next, trace the turntable sweep and the stand footprint. The rotating part, clamps, marker tabs, and cable loops all need clearance. Rotate an empty turntable by hand through a complete revolution. Nothing should touch a wall, lamp, monitor arm, or loose cable. The operator also needs a route to reach the part without leaning on the bench.
A handheld unit needs a different envelope. The operator should be able to move around the intended part while keeping the cable relaxed and the display visible. Artec’s guidance explicitly asks for enough space around the object. A clear route also reduces sudden changes of speed that can interrupt tracking.
Check the bench as a measuring surface
Press each corner of the bench and watch a glass of water or a phone standing on edge near the scan position. Visible movement means the support needs bracing, relocation, or separation from equipment that vibrates. Fans, small compressors, printers, and neighboring machine tools can all disturb a light table.
The scanner stand and turntable should sit on the same stable surface unless the manual specifies another arrangement. Locking casters must be locked. Adjustable feet must carry the load without rocking. A soft mat may stop a part from sliding, but a thick compliant mat can tilt it as the table rotates.
Photograph the final footprints and tape marks. The image becomes a setup record and makes an accidental move visible. It is more useful than a vague note saying that the bench looked stable.
Control light before calibration
Close blinds and switch off any lamp aimed directly at the calibration area. Then inspect the bench with the normal room lights on. The goal is steady, diffuse illumination without a bright reflection traveling across the target or part.
EinScan’s calibration troubleshooting guide warns that strong ambient light and direct light from a window or lamp can reflect from the calibration board and prevent image acquisition. Artec likewise recommends good ambient light and uniform illumination. Those instructions support a simple rule: fix the light source before changing software exposure.
Record the lighting arrangement with a photo and a short label such as “ceiling lights on, task lamp off, blind closed.” If daylight changes during the day, plan first calibration for a repeatable lighting condition. A scanner cabinet or blackout blind may be justified later, but commissioning only needs a controlled baseline.
Plan power and data routes separately
Identify every item that requires mains power: scanner, turntable, computer, display, and perhaps a powered USB accessory. Check the supplied power labels and local outlet arrangement before connecting anything. Extension leads should stay off the operator’s walking route and should not hang from scanner connectors.
Lay the supplied data cable along its intended path without plugging it in. It should reach the computer with a relaxed service loop at both ends. The connector should not carry the cable’s weight. Keep spare cable away from the turntable and stand adjustment points.
Reserve a direct high-speed port on the computer. EinScan recommends trying another USB 3 port when calibration video fails even though the scanner is recognized. Creality’s troubleshooting guidance similarly directs users toward another USB 3 connection when recognition fails. A hub may be convenient later, but the first test should remove that extra variable unless the manufacturer requires a powered hub or dock.
Inventory without losing the evidence
Before breaking seals, place the shipping label and box on the cleared floor beside the bench. Record dents, water marks, or crushed corners. Open the package in a way that preserves inserts and protective covers until the system passes its first scan.
Match the contents against the manufacturer’s packing list. Common items include the scanner, stand, turntable, calibration artifact, power supply, data cable, adapters, markers, and a reference object. The actual list for the purchased kit controls. Photograph each labeled item and its serial number without posting those images publicly.
Handle the calibration panel by its protected edges and keep its cover. Artec’s desktop calibration instructions tell the operator to confirm that the serial number selected in software matches both the scanner and calibration panel. That check catches a mixed kit before repeated calibration failures consume time.
Make a readiness record
The shop should finish with a short record rather than a mental impression. A practical form contains the date, workstation name, scanner serial, calibration artifact serial, manual revision, intended USB port, lighting state, bench photo, and the first reference part.
Mark each item as ready, corrected, or blocked:
- Working envelope is marked from the correct manual.
- Turntable or operator path clears all obstacles.
- Bench remains stable under normal reach and nearby equipment use.
- Direct sunlight and concentrated task lighting are controlled.
- Power and data cables reach without tension.
- A direct compatible computer port is reserved.
- Kit contents and serial pairings are documented.
- A rigid, matte, feature-rich reference part is ready.
A blocked item should name a physical correction: move the lamp, brace the table, obtain the manufacturer-approved cable, or reserve a different computer. Once the record is complete, the installation begins with fewer unknowns and a baseline that another operator can reproduce.
